As the Office Manager, you will play a pivotal role in ensuring the efficient functioning of our dental office. You will be responsible for overseeing administrative tasks, managing staff, and fostering a positive patient experience. Your organizational and leadership skills will be critical in maintaining a well-organized, patient-centric, and compliant practice. We need someone who enjoys people, who is organized and has a genuine interest in dentistry and oral health. Below is a list of tasks and responsibilities you as the Office Manager are expected to oversee and complete.

Office Manager Responsibilities:

Team

  • Hire, train and supervise all office staff including receptionists and dental assistants 
  • Ensure all new hires are being provided with sufficient training and clear expectations of tasks. 
  • Create and provide any training material to help ensure understanding and success.
  • Foster a positive and cohesive team environment. Keep everyone on the same page and communicate clearly.
  • Conduct regular performance evaluations and provide constructive feedback.
  • Provide follow up training and/or resources to staff if needed.
  • Stay updated on industry trends and best practices.
  • Encourage and facilitate staff training and development.
  • Implement and improve office procedures and policies to enhance efficiency.
  • Oversee infection control and safety protocols.
  • Ensure compliance with all relevant regulations and dental industry standards.

Patient

  • Greet and assist patients, ensuring a warm and welcoming atmosphere.
  • Manage patient appointments, including scheduling, rescheduling, and cancellations.
  • Address patient inquiries and concerns promptly and professionally.
  • Maintain accurate patient records and confidentiality.
  • Manage the practice’s appointment and communication systems.
  • Assist in patient retention and acquisition efforts.

Financial 

  • Oversee billing and insurance claims processes.
  • Monitor accounts receivable and follow up on outstanding payments.
  • Prepare and manage the office budget.
  • Manage and replenish dental supplies and office inventory.
  • Coordinate equipment maintenance and repairs.
  • Ensure compliance with all relevant regulations and dental industry standards.
  • Handle administrative tasks, such as payroll processing and vendor relations.
  • Collaborate with the marketing team to promote the practice.
